Trust

Trust centre

The Ottom trust centre is where a security review of Ottom starts. It describes the controls that protect the data Ottom holds, shows how data moves between your team, our servers, the stores our AI agents visit and the services we use, and links the legal documents that bind us.

Security overview

What protects your data today. Each point describes something that is running now, not a plan.

Signing in to Ottom

  • Your team signs in with an email link, a password, a passkey, Google or Shopify.
  • Passwords must be at least 12 characters, and we keep only a scrypt hash of each one.
  • Anyone can add a second factor from an authenticator app, with recovery codes kept only as hashes.
  • A workspace owner can require a second factor of every member.
  • A session ends after 30 days without use, and 90 days after sign-in however often it is used.

How our staff reach your data

  • Our admin tools need a password and a code from an authenticator app for every staff account.
  • Every action taken in them is written to an audit log that the database refuses to edit or delete, and kept for six years.
  • What a customer may see is decided on our servers, in one place, before anything is sent to the browser.

Encryption and secrets

  • Every page and API is served over HTTPS.
  • The keys we hold for the services we connect to are encrypted with AES-256-GCM before they are stored.
  • Links we email to sign in, sign a document or accept an invitation are stored only as hashes.
  • Card details go straight to Stripe and never reach our servers.

Where data is kept, and backups

  • Our own servers, which hold the database and the scan recordings, are in the United Kingdom.
  • Every server is backed up every three hours. Backups are encrypted before they leave the server, and a copy is kept off site.
  • How long we keep each kind of data is set out in our Privacy Policy, and deleted on schedule by a nightly job.

How changes reach production

  • Every change is reviewed in a pull request and must pass automated tests before it is merged.
  • A merged change runs on a separate staging environment first. Production is updated only when we promote a build already running on staging.
  • Dependency updates arrive every week, and the build fails on any known high or critical vulnerability in a production dependency.

How our AI agents behave on a store

  • Our agents identify themselves with a published user agent and leave from fixed, published addresses.
  • They never submit a payment, and each store has a daily limit on how often it is visited.

How our agents identify themselves, and how to opt a store out, is on our agent page.

How data moves

Your team reaches Ottom over HTTPS. Our AI agents visit the stores you ask us to test, and the results are kept on our own servers in the United Kingdom.

How data moves between your team, Ottom and othersYour team reaches Ottom over HTTPS through Cloudflare. The web app, the AI agents and the database with the scan recordings run on our servers in the United Kingdom. The agents visit online stores from published addresses with a published user agent. Questions security reviews ask

Where is our data stored?

The database and the scan recordings are held on our own servers in the United Kingdom. Some of the services we use process data in other countries. The subprocessor list on this page says which services they are, what each one can see and where.

Do you store card details?

No. Card payments are taken by Stripe, and card details never reach our servers.

Who at Ottom can see our data?

Only the people who run the service and answer support requests. Our admin tools need a password and a code from an authenticator app for every staff account, and every action taken in them is written to an audit log that cannot be edited or deleted.

Can we require a second factor for our whole team?

Yes. The owner of a workspace can require every member to have a second factor. A member without one has no access to the workspace or its stores until they add one.

How is our data protected in transit and at rest?

Every page and API is served over HTTPS. Passwords and recovery codes are kept only as hashes, the links we email are stored only as hashes, and the keys we hold for the services you connect are encrypted before they are stored.

How is data backed up?

Every server is backed up every three hours. Backups are encrypted before they leave the server, and a copy is kept off site.

How long do you keep our data?

Our Privacy Policy lists how long we keep each kind of data, and a nightly job deletes it when that period ends. You can ask us to erase your account at any time.

How do changes reach production?

Every change is reviewed in a pull request and must pass automated tests. It then runs on a separate staging environment, and production is updated only when we promote a build already running there. Any release can be rolled back to the build before it.

Do your AI agents identify themselves when they visit a store?

Yes. They send a published user agent, leave from fixed published addresses, use a synthetic email address at checkout and never submit a payment. Our agent page gives the details and how to opt a store out.

How do we report a security problem?

Write to [email protected] with the word Security in the subject. A person replies within five working days. Our page on reporting a security problem gives the full policy.

Reporting a security problem

If you find a security weakness in Ottom, our page on reporting a security problem says where to write, what to send and what we promise in return. Our Privacy Policy says what personal data we hold and for how long.
